At SketchMyApp LLC ("we," "us," or "our"), we are committed to protecting your privacy. This Privacy Policy explains how we collect, use, store, and protect your personal information when you use the SnapTrack AI mobile application ("SnapTrack AI" or "the App"). By using SnapTrack AI, you consent to the practices described in this policy.
Information We Collect
Account Information
When you create an account, we collect:
- Email address
- Name (optional)
- Date of account creation
- Authentication credentials (securely hashed)
Camera Access and Receipt Images
SnapTrack AI uses your device camera to capture receipt images. We collect:
- Photos of receipts you choose to capture through the app
- Edge-detected and processed versions of receipt images for OCR scanning (Premium)
- Extracted text data from receipt images (merchant, date, amount, line items)
Important: We only access your camera when you actively use the receipt capture feature. We do not access your photo library unless you choose to import an existing image. Receipt images are stored securely and used solely for expense tracking purposes.
Voice Memos
If you choose to use the voice memo feature:
- Audio recordings you create within the app
- Transcriptions of voice memos (where applicable)
- Association between voice memos and specific receipts
Microphone access is only requested when you initiate a voice memo recording. We do not record audio in the background.
Expense and Financial Data
When you track expenses, we collect:
- Receipt amounts, dates, and merchant names
- Expense categories you assign or that are auto-assigned
- Notes and tags you add to receipts
- Export history (PDF, CSV, ZIP)
- QuickBooks sync data (Premium, with your explicit authorization)
Subscription Information
If you subscribe to SnapTrack AI Premium, payment processing is handled entirely by Apple through the App Store. We receive confirmation of your subscription status but never have access to your payment card details, billing address, or other financial information.
Usage Analytics
We collect anonymized usage data to improve the app:
- Features used and frequency
- App crashes and error reports
- Session duration
- Device type and operating system version
This data is aggregated and anonymized—it cannot be used to identify you personally.

To Enable Data Export and Sync

- Maintain your data so it is accessible across sessions
To Improve SnapTrack AI
- Analyze usage patterns to enhance features
- Fix bugs and improve scanning accuracy
- Develop new features based on user needs
Data Storage and Security
Your data is stored securely using Firebase, a Google Cloud service with industry-leading security practices. We implement:
- Encryption in transit (TLS/SSL) and at rest
- Secure authentication with Firebase Auth
- Isolated per-user storage — your receipt data is never accessible to other users
- Regular security audits and updates
- Access controls limiting data access to essential personnel only
AI-Powered Receipt Analysis
SnapTrack AI uses artificial intelligence to analyze receipt images and automatically extract information such as merchant names, dates, amounts, and line items. This section explains how your data is processed by AI.
What Data Is Sent to the AI Service
When you capture or import a receipt image and save it, the following data may be sent for AI analysis:
- The receipt image you captured or imported
- A secure URL pointing to the image stored in our cloud infrastructure
No other personal data (such as your name, email address, account information, or device identifiers) is sent to the AI service.
Who Processes Your Data
Receipt images are processed by OpenAI (OpenAI, L.L.C.), a third-party artificial intelligence service provider based in the United States. OpenAI processes the image to extract text and structured data (merchant name, date, amount, line items). OpenAI's processing of your data is governed by their Privacy Policy and their API data usage policies. OpenAI does not use data submitted through their API to train their models.
Your Consent Is Required
Before any receipt data is sent to OpenAI for analysis, you must provide explicit consent. The first time you save a receipt with an image, the app will present a clear disclosure explaining what data is shared, who it is shared with, and why. You must actively agree by tapping "I Agree" before any data is transmitted. Your consent preference is saved locally on your device.
If You Decline AI Processing
If you decline AI data sharing, the app will continue to function normally for all non-AI features. You can still capture receipts, organize expenses, and export data. You will simply need to enter receipt details (merchant, amount, date) manually instead of having them automatically extracted. No data will be sent to OpenAI or any other AI service.
Changing Your AI Consent
You can change your AI data sharing preference at any time from the app's Settings screen. If you previously consented and later revoke consent, no further data will be sent to the AI service.
Third-Party Integrations
OpenAI (AI Receipt Analysis)
With your explicit consent, receipt images are sent to OpenAI for automated text extraction. OpenAI processes the image and returns structured data. OpenAI does not retain your data beyond what is necessary to process the request and does not use API submissions to train their models. See OpenAI's Privacy Policy for details.
QuickBooks (Premium)
If you enable QuickBooks sync, you will be prompted to authorize the connection through Intuit's OAuth flow. We only access the QuickBooks data necessary to sync your expenses. You can revoke this access at any time from within the app or your QuickBooks account settings.
Firebase (Google Cloud)
We use Firebase for secure data storage, authentication, and cloud functions. Firebase is bound by Google's strict data protection agreements and does not use your data for advertising purposes.
Information Sharing
We do not sell, rent, or trade your personal information or your receipt/financial data. We may share data only in these limited circumstances:
- AI Service Provider (OpenAI): With your explicit consent, receipt images are shared with OpenAI for automated text extraction. No personal account data is included — only the receipt image.
- Cloud Service Providers: Firebase/Google Cloud (data storage and authentication), Apple (payment processing) — all bound by strict data protection agreements
- QuickBooks/Intuit: With your explicit authorization, expense data may be synced with QuickBooks
- Legal Requirements: If required by law, court order, or government request
- Safety: To protect the rights, safety, or property of our users or the public
Your Rights
You have the right to:
- Access: Request a copy of your personal data and receipt records
- Correct: Update inaccurate information in your profile
- Delete: Request deletion of your account and all associated data, including receipt images and expense records
- Export: Download your expense data in PDF, CSV, or ZIP format at any time
- Revoke integrations: Disconnect QuickBooks or other third-party connections at any time

Data Retention
We retain your personal data and receipt records for as long as your account is active. If you delete your account, we will remove your personal data, receipt images, and all associated expense records within 30 days, except where retention is required by law or for legitimate business purposes (e.g., fraud prevention).
Children's Privacy
SnapTrack AI is not intended for children under 13. We do not knowingly collect personal information from children under 13. If we become aware that we have collected such information, we will delete it promptly.
Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of significant changes through the app or via email. Your continued use of SnapTrack AI after changes constitutes acceptance of the updated policy.
